SafeDrop Forms - User Guide
Learn how to create, manage, and share secure forms for collecting information and files from your users.
Overview
SafeDrop Forms lets you build custom forms to collect data and files securely. All submissions are encrypted and stored safely, with options for recipient notifications, automatic responses, and embedding on your website.
Creating a New Form
Getting Started
- Navigate to Forms from the main menu
- Click New Form to open the form builder
- Give your form a title and description

Adding Fields
Drag and drop fields from the left panel to build your form. Available field types:
Field Type | Description | Use Case |

Textarea | Multi-line text input | Comments, longer responses |

File Upload | Secure file attachment (up to 10GB) | Documents, images, large files |

Configuring Fields
Click any field to configure it:
- Label - The question or prompt shown to users
- Required - Whether the field must be completed
- Placeholder - Helper text shown inside the field
- Options - For select fields, the available choices
Form Settings
Access form settings to customise behaviour:
Submission Settings
Setting | Description |

Allow Multiple Submissions | Let users submit the form more than once |
Require Email | Ask for submitter's email address |
Require Work Email | Block personal email domains (Gmail, Yahoo, etc.) |
Auto Respond | Send automatic confirmation to submitter |
Security Settings
Setting | Description |

Enable reCAPTCHA | Protect against spam and bots |
Expiry Days | Automatically close form after set period |
Security Tier | Choose encryption level (Simple, Balanced, Secure) |
Appearance Settings
Setting | Description |

Thank You URL | Redirect users after submission |
Hide Logo | Remove SafeDrop branding |
Submit Button Text | Customise the submit button label |

Adding Recipients
Recipients receive notifications when someone submits your form.
- In the form builder, find the Recipients section
- Enter an email address
- Click Add to include them
Recipients can be:
- Managed users - Users within your organisation
- External users - Anyone outside your organisation

File Uploads
Forms can accept file uploads up to 10GB per file. SafeDrop handles large files automatically with:
- Chunked uploads - Large files are split for reliable transfer
- Progress tracking - Users see real-time upload progress
- Resume capability - Interrupted uploads can continue
Tips for File Upload Fields
- Consider adding helper text explaining accepted file types
- For very large files, inform users the upload may take time
- All uploaded files are encrypted before storage
Sharing Your Form
Once your form is saved, you have several ways to share it:
Direct Link
Copy the form URL and share it via email, chat, or any other channel.

Embed on Website
Use the embed code to add your form to any website:
- Click Get Embed Code on your saved form
- Choose your embed style:
- iFrame - Simple embed with customisable dimensions
- JavaScript - Auto-resizing embed for dynamic content
- Copy the code and paste it into your website

Embed Customisation
When embedding, you can adjust:
- Width and height
- Theme (light, dark, or auto)
- Border visibility
- Font size and family
- Background colour
Viewing Submissions
Submissions Dashboard
- Go to Forms from the main menu
- Click on a form to view its submissions
- Browse through all responses

Submission Details
Click any submission to view:
- All field responses
- Uploaded files (with secure download)
- Submission date and time
- Submitter email (if collected)
Downloading Files
Files submitted through forms are encrypted. To download:
- Open the submission
- Click the download button next to any file
- The file is decrypted and downloaded to your device
Managing Forms
Duplicating a Form
Save time by copying an existing form:
- Find the form in your list
- Click the menu (three dots)
- Select Duplicate
Deleting a Form
- Click the menu on the form
- Select Delete
- Confirm the deletion
Note: Deleting a form does not delete existing submissions.
Best Practices
- Keep forms focused - Ask only for information you need
- Use clear labels - Make questions easy to understand
- Add descriptions - Provide context where helpful
- Test your form - Submit a test response before sharing
- Enable reCAPTCHA - Protect public forms from spam
- Set appropriate expiry - Close forms when no longer needed
Troubleshooting
Form Not Loading
- Check your internet connection
- Clear browser cache and try again
- Ensure the form hasn't expired
File Upload Failing
- Check file size (maximum 10GB)
- Try a different browser
- Ensure stable internet connection for large files
Not Receiving Notifications
- Check spam/junk folder
- Verify recipient email is correct
- Contact your administrator
