Managing Folder Permissions in Projectfusion

Our Folder Permissions give Managers a powerful one-page matrix to control access to folders and files in a site. Easily assign or restrict user roles, ensure confidentiality, and maintain control as your data room evolves.


🚀 Getting Started

  1. Login to your Projectfusion site as a Manager.
  2. Navigate to your site dashboard.
  3. Click the gear icon (⚙️) at the top right.
  4. Select Folder Permissions to launch the permissions matrix.


⚠️ Important Caveats to Keep in Mind

  1. Pre-Hide Folders Before Uploading:
  • If users have access to a folder before you upload documents, they’ll receive notifications in their daily email digest.
  • Best Practice: Create the folder first, set it to No Access, then upload your documents.


  1. New Folders Inherit Existing Permissions:
  • Top-level folders will inherit site-level group permissions.
  • Always return to the Folder Permissions matrix after creating new folders to double-check access settings.


  1. Prefer Folder-Level Over File-Level Permissions:
  • File-level control is possible, but harder to manage and update.
  • Stick to folder-level permissions wherever possible.



✏️ How to Use the Folder Permissions Matrix

  • Locate the folder row you want to update.
  • Find the column for the group or role you wish to edit.
  • Click the square/pencil icon in that cell.
  • Choose the desired permission from the dropdown:
    • Manager
    • Contributor
    • Consumer
    • PDF/Print
    • View Only
    • No Access
  • To reset inheritance, click the icon under the Inherits column.


🔧 Additional Settings

  • New Group: Create a new group and bulk-add users. Optionally include this group in Q&A.
  • Include Documents: Toggle to show files inside folders (may slow down large sites).
  • Folder Depth: Choose how many folder levels deep to manage. We recommend setting this to 3.


📚 Real-World Permission Use Cases

✅ Example 1 – Restrict Access to a Sensitive Folder

Goal: Hide the folder 1 Key Document Set from all except Managers and Bidder Alpha group.

Steps:

  1. Click New Group, name it (e.g., Bidder Alpha), add users, click OK.
  2. For 1 Key Document Set, click each group/role and set to No Access, except for Managers.
  3. For the Bidder Alpha group, assign Consumer or another suitable permission.
  4. Projectfusion auto-adjusts access above and below to maintain security and navigation.

🔁 Example 2 – Adjust Role Permissions

Goal: Change PDF/Print and Consumer roles to View Only for 1 Key Document Set.

Steps:

  1. Find the intersection of the folder row and role column.
  2. Click the pencil icon.
  3. Select View Only from the dropdown.
  4. Repeat for all necessary roles.

📤 Example 3 – Create a Private Staging Folder

Goal: Allow only the Manager and Staging Group to access a private staging area.

Steps:

  1. Create a folder called Staging Area in the Document Library.
  2. Go to Folder Permissions.
  3. Set all roles except Managers to No Access for this folder.
  4. Create a new group (e.g., Staging), add users, and tick the Q&A box if needed.
  5. Grant the Staging group Contributor (or higher) access to the folder.
Now your staging group can safely prepare documents without triggering notifications to others.
