Getting Started with Redaction

Redacting is quick and simple. Here's how: ( currently supports only UTF-8 ,pdf, xls,xlsx,doc,docx,ppt and pptx )


πŸ“‚ Step 1: Upload Your Files

Upload your document set; nested folders are supported.


βš™οΈ Step 2: Enable Redaction

  • Click the Settings cogβš™οΈ icon (top right)
  • Go to Edit Site Details
  • Enable : βœ… Indexing βœ… Redaction
  • Now save changes


πŸ” Step 3: Open the File

  • Locate the file you want to redact
  • Click to open it in the secure viewer
  • In the secure viewer, click the red Redact button (top right)
  • The redaction menu will appear on the left pane




πŸ› οΈ Redaction Options

You have the following available :

  1. Manual Highlighting
  • πŸ”€ Text Selection – Highlight specific words
  • 🟦 Area Selection – Block out custom sections


  1. Search Redaction
  • πŸ” Text Search – Find and redact repeated phrases
  • 🧩 Preset Search – Auto-detect things like emails, dates, and time
  • 🧠 Regex – Use advanced search patterns (for tech-savvy users)


Use the Mark for redaction β†’ Apply buttons to execute the redaction.



πŸͺ„ Magic Redact


Magic Redact offers a fast, intelligent way to bulk-redact sensitive data using smart presets.


  1. Open your document in the secure viewer
  2. Click the Redact button (top right) to open the redaction panel
  3. In the redaction panel on the left pane, select Magic Redact


πŸ”˜ Step 1: Choose Presets

From the list, select the types of information you want to redact. Available presets include:

  • 🏠 UK Address
  • πŸ‘€ Person Names
  • ☎️ Phone Numbers
  • πŸ“§ Email Addresses

You can select one or multiple presets.


✍️ Step 2: Add Free Text (Optional)

Use the Free Text field to add custom keywords or phrases you'd like to redact, in addition to the selected presets.

πŸ“Œ Example: β€œProject X”, β€œManhattan”


🚫 Step 3: Use the Whitelist (Optional)

Enter any words or phrases in the Whitelist that you want to exclude from being redacted.

πŸ“Œ This ensures important names or terms remain visible, Example : " David Long "


πŸ‘€ Step 4: Preview Redactions

Click Preview to review your selections:

  • Text that will be redacted appears highlighted in red boxes
  • Check that everything looks correct


βœ… Step 5: Apply Redactions

If you're happy with the preview, click Apply

All selected text will be instantly marked for redaction.



πŸ•“ Version History & Undo

Each time you apply redaction, a new document version is saved.

To undo redactions:

  1. Go to the document’s version history
  2. Revert to a previous version
