Admin & Site Manager Guide
π Note: Only Administrators or users in the SITE_CREATORS
group can create a site.
ποΈ Creating a Site
- Click Sites in the top menu and choose Create Site.
- Enter a name for your site. (The name can be changed later, but the URL will stay the same.)
- Make sure Private is selected and Social is unticked.
- After creating the site, you can edit settings like watermarking and site terms anytime:
- Click the gear icon (top right) > Edit Site Details.
π¨ Customising a Site
Go to βοΈ Gear icon > Customise Site (top right under the search bar).
π Change Theme
- Select a new theme from the dropdown under Site Theme, then click OK.
π§± Add/Remove Site Pages
- Drag icons from Available Site Pages into Current Site Pages to add.
- Drag them out of Current Site Pages to remove.
- Click OK to confirm changes.
π Uploading & Downloading Documents
π‘ Tip: Prefix folders/files with numbers (e.g.,01_
,02_
) for logical ordering.
β¬οΈ Uploading
- Drag & Drop files into the Document Library (folders are not supported).
- Upload ZIP Archives (max 250MB): Drag to the screen, then go to More > Extract.
- WebDAV Tools (e.g., GoodSync): Useful for syncing or uploading large data sets.
β¬οΈ Downloading
- Hover over a document and click the Download icon.
- Select multiple files > Selected Items > Compress and download.
- Use WebDAV tools for large-scale downloads.
βοΈ Renaming
- Hover over any file/folder, click the pencil icon, edit, then click Save.
π Redacting Documents
- Open a document in the Previewer.
- Click Edit (top-right).
- Choose your redaction method:
- Manual Highlight (Text or Area)
- Search Redaction (Text, Preset, or Regex)
π§ Managing Folder & File Permissions
- Click the gear icon > Folder Permissions.
- Use the overview matrix to adjust access by user/group/role.
- Changes cascade to subfolders unless overridden.
β οΈ Best Practice: Avoid file-level permissions when possible. Stick to folder-level control.
π₯ Inviting Users to a Site
Suggested Roles for External Users:
- Consumer View Only: Preview only.
- Consumer PDF Print: Download watermarked PDF.
- Consumer: Download original and PDF versions.
Steps to Invite:
- Click Invite Users (right side of screen).
- Use Search for existing users or External for new ones.
- Assign role & groups.
- Click Invite.
π« Removing Users from a Site
- Go to Members page.
- Search for the user.
- Click Remove (right side).
To reinstate:
- Go to Invite Users > Search for People, then re-add and assign a role.
β Q&A Module
Let bidders ask and receive answers within the data room.
Common Q&A Controls:
- Ask on Behalf: QA Admins can submit on behalf of a bidder.
- Broadcast Q&A: Mark questions as FAQ for visibility to all bidder groups.
- Granular Ask Rights: Allow specific users in bidder groups to ask.
Configuration
- Go to Questions & Answers > Configure.
- Set Default Assignee for all new questions.
- Add/remove members in QA Admins or Bidder Groups.
- Assign "Ask" rights where needed.
Managing Questions
- Use Save Draft to prepare answers for internal review.
- Choose reply status: Answered, Answered & Locked, or Open.
- Attach file references and tag questions (e.g., Legal, Financial).
- Lock/Remove questions with the Reply/Delete buttons.
- Filter, Export, and Print via the sidebar or top-right menu.

ποΈ Site Index
A visual overview of your folder structure:
- Shows % and number of files inside each folder.
- Click folder names to jump into them.
- Print/Download the full index for local use.
π Reporting
Track site activity:
- See time spent, document views, and actions like "Read".
- Drill down into subfolders.
- Filter by date range.
- Print or export reports as needed.
