How to Set Up MFA on safedrop

What is it?

Multi-Factor Authentication (MFA) adds an extra layer of protection to user logins.

What are my options?

You can require MFA using:

SMS code
TOTP apps (like Google Authenticator)

How to enable it:

For Admins

Go to your safedrop Admin Panel
Head to Authentication Settings
Under the MFA section, choose one of the following:

Off – no MFA required
Only for email/password – good if you use Azure or Google login
Always enforced – all users must use MFA, even with SSO

Click Save

That’s it. Users will be prompted to set up MFA the next time they log in.

For Users

Once MFA is enabled, you’ll be asked to set it up during your next login. Choose your preferred method:

Option 1: SMS

Enter your mobile number
Enter the 6-digit code you receive via text
Done

Option 2: TOTP (e.g. Google Authenticator)

Scan the QR code with your authenticator app
Enter the 6-digit code from the app
That’s it

You’ll use the same method every time you log in.

|| Tip: Users on Azure or Google login won’t be asked again if you select the “Only for email/password” setting.

Your Dashboard Every user gets their own dashboard. Press ‘Customize Dashboard’ if you’re comfortable using websites, and want to personalise your page. Click a site from the “My Sites” dashlet to get started. If there are no sites you may have to accept an invitation via email first.

Sites Most data is held in Sites, which may be Public (anyone with a user account can Join – or Moderate to choose who can Join) or Private (invite only and hidden to non-members).

Click on the Document Library link to find folders and files

Document Library Click in the options area to change the way we list files.

Click on document titles for a preview, or hover for an action menu.

Hints and Tips. Click your name, and edit your profile People want to know more about you! We only share this info with user who belong to sites with you, that you collaborate with.

Hover over filenames to quickly edit

When you hover over a file or folder, click the pen icon to change a title. This also works for adding Tags.

Use the ‘Sites’ drop down to get around, and ‘My Dashboard’ to get back to the beginning.

PRIVACY & SOCIAL SITES

Readonly users (consumers) will only see other users details in social sites. In other sites personal data will be hidden from them.

You can follow another user, and see their updates if you share a social site with them.

Want recipients to create an account before viewing sensitive files? No problem.

When sending a safedrop:

Click Advanced Options
Toggle Require safedrop Account to ON

This means:

The recipient must create an account
They’ll log in and complete MFA
Only then can they view your files

How to Use Auto-Provisioning

Auto-provisioning lets users join your safedrop team without admin involvement. Here’s how to set it up:

Go to the Admin Panel
Find the Company Domains section
Add one or more email domains (e.g. @yourfirm.com)

Now, anyone with a matching email address can sign up and will be added to your default team.

You’ll get an email when someone joins
They’re free for 2 weeks
You can remove them anytime before billing starts

How to Send Files Using safedrop

Sending secure files with safedrop is quick and compliant. Here’s how it works, from login to delivery. Watch the video ${vimeo}here.

🟠 Step 1: Log In and Start a safedrop

After logging in, you’ll land on the safedrop compose page.

📎 Step 2: Add Your Files

You have two options:

Drag and drop files into the drop zone, or
Click the orange “+” icon to browse and select files from your device.

✍️ Step 3: Add a Subject and Message (Optional)

Add a subject line and a message for your recipient.
If you want more privacy, you can encrypt the message, so it's only visible once the recipient is verified and has accessed the safedrop. || Note: These fields are optional — you can still send files without them.

👥 Step 4: Add Recipients

Enter one or more email addresses. Separate multiple addresses with commas or add them one by one, hitting Enter after each.

You can also choose "Don’t specify recipients" — this creates a link you can share manually.

📤 Step 5: Choose How the safedrop Will Be Sent

You have two choices:

Option 1 – Automatically send everyone an email safedrop will email recipients a secure link.

Option 2 – I will send them the link myself safedrop gives you a link to copy and paste into your own message.
